Privacy Notice

Last updated: July 24, 2026

Draft pending review. Details shown in [brackets] will be completed before this notice is final.

This notice explains what personal data ReloClarity processes, why, and the rights you have. It covers this website (reloclarity.aithanor.com) and the ReloClarity console at app.reloclarity.aithanor.com. It describes what the product actually does today; where a fact depends on a pending company decision it is shown in [brackets].

1. Who we are

ReloClarity is operated by [COMPANY LEGAL NAME], [LEGAL FORM], registered office [REGISTERED OFFICE ADDRESS], registered under [COMPANY REGISTER AND REGISTRATION NUMBER] ("ReloClarity", "we", "us").

For privacy questions or to exercise your rights, email [PRIVACY CONTACT EMAIL].

2. This website sets no cookies and runs no trackers

The public pages on reloclarity.aithanor.com (the landing, the sample record, the learn guides, the baseline request form, and this notice) set no cookies, use no browser storage, and load no analytics, advertising, or third-party tracking of any kind. That is why this site shows no cookie banner: consent is required for non-essential cookies, and we set none at all.

One application serves both this site and the console, so the sign-in page is reachable on this domain too. Signing in is the only action that sets a cookie: the strictly necessary session cookie described in section 5, and nothing else.

3. The baseline request form

The form at /baseline is the one place on the marketing site where you send us personal data, and only when you choose to submit it. It collects your name, your work email, your company, and optionally your role, your program size, and a free-text description of what you would like modeled.

We use this solely to respond to your request for a program baseline and to contact you about it. Legal basis: steps taken at your request prior to entering into a contract, and our legitimate interest in answering you (GDPR Art. 6(1)(b) and (f)). The submission is stored in our database as the record of your request, and an internal notification is sent to our team so we can respond. We do not add you to any marketing list or send your details to an external marketing service [FINAL LEAD DESTINATION PENDING: a contact tool such as Brevo, or an internal tracker; this section will name it before any such transfer happens].

4. The product is read-only and benchmarks are anonymized

ReloClarity models, benchmarks, and documents relocation home-sale fees. It is read-only by design: it never executes a transaction, moves money, or instructs any party. The market benchmarks it shows are anonymized aggregates computed across many moves; a cohort is exposed only when it contains at least five moves, so no figure identifies a single employer, agency, or household. No customer ever sees another customer's raw terms.

5. The console (app.reloclarity.aithanor.com)

If your organization holds an account, we process:

  • Your email address, to sign you in. Sign-in is passwordless: a WebAuthn passkey (your device is the key) is primary, and an authenticator app (TOTP) code is the fallback. Credential material is stored to the security standard of our authentication library; the private key never leaves your device.
  • Sign-in protection data: the requesting context is used transiently to rate limit sign-in attempts.
  • The relocation data your organization loads into its workspace (moves, fees, policies), processed to provide the modeling, benchmarking, and documentation service and to produce your evidence log. Each workspace is isolated from every other at the database level.

The console sets one cookie, and no others:

CookiePurposeTypeLifetime
reloclarity_sessionKeeps you signed in (httpOnly, secure, sameSite lax)Strictly necessarySession

It requires no consent banner: it is strictly necessary to keep you signed in, it is first-party, and there are no advertising or tracking cookies.

6. Who processes data for us

We use a small set of infrastructure providers acting on our instructions: application hosting, our database, and internal team notifications (Slack). We do not sell personal data, we run no advertising, and we do not use your data to train models. [FULL PROCESSOR LIST WITH LOCATIONS AND SAFEGUARDS TO BE CONFIRMED AT REVIEW.]

We may disclose information where the law requires it or to protect the rights, safety, or property of ReloClarity or others.

7. International transfers

[TO BE COMPLETED WITH THE CONFIRMED PROCESSOR LIST: processing locations and, for any transfer outside the EEA, the safeguard relied on (adequacy decision or Standard Contractual Clauses).]

8. How long we keep data

  • Baseline requests: kept as the record of your enquiry, then deleted when no longer needed to respond or as required by law.
  • Console sessions: for the duration of the session.
  • Account and workspace data: for the life of the account, then as required by law.

9. Your rights

Where the GDPR applies, you have the right to access, correct, and erase your personal data, to restrict or object to processing, to data portability, and to withdraw consent where processing is based on consent (none of our current processing is). Write to [PRIVACY CONTACT EMAIL]. You can also complain to a supervisory authority; the lead authority is [SUPERVISORY AUTHORITY, PER PLACE OF ESTABLISHMENT].

10. Children

The service is for businesses and is not directed at children.

11. Changes to this notice

We update this notice when the product's data flows change, and the date above with it. Material changes to console processing are announced to account holders by email.

12. Contact

Privacy: [PRIVACY CONTACT EMAIL]. General: [GENERAL CONTACT EMAIL]. Postal: [COMPANY LEGAL NAME], [REGISTERED OFFICE ADDRESS].
